Work DescriptionThe Financial Manager is responsible to work in close collaboration with the CEO, CFO and EXCO to ensure the financial sustainability of the. In order to do so, the Financial Manager will be held accountable for the following practices and processes:Financial Budgeting and ForecastingFinancial Modelling/scenario planningFinancial planning and controlOperational Financial Management General Accounting and Transactional Financial OversightFinancial ReportingFinancial and Business Decision MakingLegal administrationFinancial Governance and Risk ManagementFinancial management information systemsAdvise on corporate governanceAsset management SavingsAuditing and Financial Governance (internal, external and Funder)Cashflow and Foreign exchange ManagementPeople LeadershipLiaise with all Internal Stakeholders and External Stakeholders and Suppliers when necessary towards the achievement of company Financial Budgeting and ForecastingConduct detailed budgeting and forecasting for efficient and effective operations for the entity Present the budget and forecastMonitor and track expenditure, and maximise cost-benefit ratio'sIdentify trends in variances over timeRecommend and advise on budget revisions to the CEO/CFOOperational Financial ManagementContinuously liaise with EXCO on strategy and plans to align the financial plans, priorities and processesFormulate and implement financial plans, priorities and processes Manage requests, as well as the processing of Treasury transactions, as well as Inter-Company Transactions/ Loans/ ChargebacksManage and reconcile Petty Cash Process Salary Journals Check and oversee HR (payroll) related cost allocation, timesheets, payslips and expenditure Monitor asset value, utilisation and ensure that the Asset Register is up to dateManage and oversee the end-to-end invoicing cycle to ensure invoices are sent out in time and to quality standardsConduct effective Balance Sheet ManagementProvide Financial data, information and interpretation as input to Business CasesEngage in financial planning activities to minimise financial risk on projectsReview or Support Project Managers to draw up initial budgets for the respective projectsReconcile actual vs project budget, and advise on potential risks and issueSupport with requests for funding as well as initiatives to secure alternative fundingGeneral Accounting and Transactional Financial OversightEnsure that management account data are accurately presented in the financial systemOversee all project and divisional financial transactions and ensure compliance to general accounting principles and standardsEnsure timeous payments of supplier accounts and payroll transactions when function decentralisedMonitor and reconcile bank accountsManage funder debtors within acceptable debtor days (60 days)Ensure positive cash balance is maintained by grant and in the division as a whole.Monitor Fixed Assets and ensure the integrity and accuracy of the Asset RegisterFinancial ReportingIdentify key financial indicators for Financial Performance reportingManage and ensure that proper reporting mechanisms are in place to conduct financial reporting to funders of projects and overallCollate financial data for monthly reporting, clarify variances, and model solutions to address financial variancesConduct funder reporting in line with funder unique requirementsFinancial and Business Decision MakingConfirm the decision making authorities pertaining to the roleEnsure an in-depth understanding of the key business priorities to be able to successfully prioritise and drive the relevant decision makingActively participate in project management to ensure from a financial perspective that projects are delivered within time, budget, positive cash inflows and funder requirementsDisplay an in-depth understanding of the relevant cost and financial value drivers to be able to identify saving opportunitiesMonitor and report back on savings realisedMonitor expenses to proactively identify Project extensions and manage low-cost extensionsConduct rigorous monitoring and management of assetsParticipate in Business Case reviews to ensure the financial integrity thereofAuditing and Financial GovernanceEnsure that the appropriate financial governance structures are in place and properly communicated to all stakeholdersMonitor adherence to internal financial parameters, and external legislative and governance requirementsRegularly liaise with the Senior Leadership on corporate governance, provide advice and contribute toward the alignment of Aurum to the relevant legislation and regulationsProvide proactive financial advice, insight, commentary and input to the CEO and CFO to manage and mitigate financially and as such, business riskMonitor that Project Managers are adhering to budgets and applying cost control techniquesEnsure audit readiness Coordinate the audit process Review reasonability for all statutory Taxes for funder compliance (specifically VAT)Manage and coordinate Funder Audits and provide Funder Audit FeedbackCashflow ManagementConduct cash flow planning Proactively manage cash flow and monitor cashflow risks monthly (actual vs forecast)Advise the CEO/CFO on proactive mitigations to put in place to manage riskMinimize losses that may arise from financial transactions and business operations undertaken by the divisionConduct treasury forecasting to ensure that inflow and outflow amounts match by considering exchange rate fluctuationsMonitor and track foreign exchange gains and losses to minimise an adverse foreign exchange effectPeople LeadershipEnsure that employees have a clear understanding of work/role descriptions, targets and goals to perform their functions, and that client needs and requirements are integrated into all work-related practicesEnsure that employees have the right resources, skills, tools, equipment, and information to successfully execute their responsibilitiesEffectively manage employee performance and create opportunities for personal growth and developmentProactively align future talent needs through effective succession planning and capacity building initiatives (i.e. training, mentorship, coaching etc.), and advise employees on career opportunities and the requirements to achieve personal growth
