QUALIFICATIONS, EXPERIENCE, COMPETENCIES: Relevant tertiary qualification, as example secretarial diplomaAt least 5 years experience in a related role Completely bilingual (written and verbal)Skills: Strong administration & organising skills Superior telephone etiquette Solid written & verbal communication skills Good people & networking skills Good time management skills Strong computer literacy especially in Microsoft applications Good knowledge of general administrative processes Good understanding of business calendarCompetencies: Detail-oriented Important for typing of documents Proactive Confidential Pressure resilient Assertive Dedicated Astute Ability to work independently KEY RESPONSIBILITIES OF THIS ROLE:1. Deliver efficient secretarial service2. Provide general administration service3. Manage external interfacesMAIN ACTIVITIES OF THIS ROLE:1. Deliver efficient secretarial service Manage communications - written (filing, faxing, email, etc.) and verbal (telephone, direct, etc.) Manage documentation filing, record keeping, travel documents, distribution of mail, etc. Compile documents and presentations according to organisational outlines and templates Update schedules timeously according to requirements and priority Prepare provisions for meetings (e.g. documents, presentations) timeously and make available for review by the Manager in advance of scheduled meetings Screen incoming calls and all visitors for relevance and re-direct as appropriate Liaison with other Livestock secretaries and personnel Provide general administration service Complete all business travel & function arrangements and preparations efficiently and timeously Handle general enquiries appropriately Co-ordinate and schedule meetings and functions Responsible for petty cash, wages, and vehicle administrationManage external interfaces Effectively and compliantly manage visitors, stud breeders, Farmers Day assemblies, etc. Screen both internal and external requests to meet with Management Maintain a professional image at all timesUnless a Recruitment Agency has been requested to assist with a specific assignment and a written agreement is signed between BKB Ltd and the Agency i.r.o this assignment, all CVs uploaded onto our SkillsMap portal by an Agency will be deemed the property of BKB Ltd (inclusive of all our subsidiaries) and no agency fees will be payable should the candidate be placed.
