The purpose of the role is to support the Sectional Title Property Managers and the rest of the department with administrative duties.The main tasks and responsibilities associated with the position are listed below. This is not an exhaustive list of tasks and responsibilities and any other tasks and/or responsibilities that could be reasonably expected for the position may be required.Administrative functions1.Ensure that Portfolio Manager is kept up to date on all repairs / maintenance (per email or in person).2.Ensure that Managing Agent and Trustees follow the Sectional Title Act accordingly compliance (Annexure B, Fire Equipment Service, 10yr Maintenance Plan). Penalties, parking, AGMs, Reserve Fund, COCs, POPI Act Compliance, Building Evaluations.3.Report faulty lifts to Managing Agent or Service Providers communicate same to affected Tenants.4.Monitor and report on water consumption Clear water meters on vacant units and ensure that network access fees are billed on the levy accounts for payment.5.Monitor and manage arrear levies.6.Perform administration tasks.7.Submit monthly reports to the VMSLK Portfolio Manager. 8.Update the Global Calendar by indicating the scheduled meetings.9.Manage outstanding insurance claims and submit the insurance progress report to the Portfolio Manager monthly. 10.Obtain the required proxies timeously.11.Issue warning letters to Tenants once validated.12.Distribute communication from Managing Agents to Tenants via SMS or Circular.13.Communicate Master List changes Service Provider Changes, Caretaker Changes, Managing Agent Changes.14.Obtain and update Building information Insurance Policies, Sectional Title Plans Inclusive of Parking Plans & Conduct Rule.Working conditions:Mostly Office Based. Limited Travelling will be required.
