Responsibilities EditingCarry out detailed analysis of the text and structure, as well as correcting grammatical errorsDouble-check the revised, edited work Implement all editorial changes Edit the manuscript (hard or electronic copy) by looking at the overall structure of the text (flow of the chapters in the book, the sequence of the text in a chapter, the appropriate use of headings, use of design and illustrative elements in relation to the text) and correcting grammar, punctuation and spelling errors. Produce material of high quality by ensuring accuracy and minimal or zero errors. Edit assessments by checking logic, grammar, consistency and accuracy of numbering and mark allocations. Check citations and references.Check that all instructional elements are in place as per design guidelines and template. Keep in mind NQF levels and appropriate register/level; keep in mind educational aspect of material and ensure that writing style is appropriateEdit assessments by checking logic, grammar, consistency and accuracy of numbering and mark allocations. Moderate multiple-choice test questions according to laid-down Milpark best-practice standards.Check citations and references in line with adapted Harvard style using Milparks Reference Guide.Format manuscripts and assessments according to styles laid out in Style Guide and using pre-established Word styles in latest Style Template. Produce material of high quality by ensuring that formatting is consistent and correct. Liaise with authors and academics regarding queries and implement changes.Assist with editing/amending factsheets and forms when requested and when capacity allows.Double-check the revised, edited work.Update any project-related documentation required as per editors schedule/timesheetQuality-check the edited manuscript to ensure that the text has been prepared according to set standardsFormattingUse Word Styles to format study material according to predetermined style set to ensure text is laid out correctly and neatly and headings are at correct level.ProofreadingCheck consistency in language usage and layout as defined to ensure the quality of the final product. This role ensures the final quality of the material in order to ensure compliance with the above standard (to check design and layout are correct, and to use good judgement in marking amendments, to minimise costs and delays)Implement all proofreading changesQuality-check the edited manuscript to ensure that the text has been revised according to set standards.Implement all proofreading changes.Resolve any further author queries.Update any project-related documentation required as per editors schedule/timesheet/planning and status documentsEnsure that all new books are checked and signed off by Chief Editor and Academics.Once books have been signed off by the Chief Editor and Academics, do a final pre-print quality check in PDF to ensure that the print-ready book meets standards.The management of learning materialComply with document management, storage of versions, liaise with academics, draw up materials development contracts and record details, and ensure good teamwork with the deans and academics.Resolve all author queries Update any project-related documentation required, i.e., tracking documents, job bag or timesheet. Once books have been signed off by the Academics and the Chief Editor, do a final pre-print quality check to ensure that the print-ready book meets standards.Maintenance, storage and security of documentsEnsure that correct file naming procedures are followed for all assessments and study material and that version control is exercised Ensure that integrity of documents and intellectual capital is safeguarded: documents are never distributed without proper authorisationEnsure that correct passwords are used for assessments in final foldersEnsure that finalised assessments are uploaded to files for printing and uploading on MoodleLiaise with CE regarding access of editors to assessment folders and creation of new assessment foldersEnsure that all finalised assessments are correctly stored in final folders.Processes: Ensure all processes are followed on all occasions. Where required, assist in authoring process; meet with authors at initial meetings; liaise with author and academic during authoring process and follow up on deadlines together with Academic Owner. Answer author queries re formatting and language.Assist with drawing up of LOA based on AMIs. Ensure that all documents are preserved in line with the requirements of the POPI Act, 2013 (Act No. 4 of 2013) and that any sensitive personal information is deleted or safeguarded.Assist with processing claim forms from authors, critical readers and reviewers. Ensure Chief Editor signs off on these.Materials development process respected and followed, e.g., internal review forms used for all internal changes to material; only correctly compiled AMIs used in new POPIA-compliant method; LOAs followed up on, received back timeously and signed by all. Correct templates sent out to authors and reviewers; all books signed off and filed. Ensure Pending Books list is consistently maintained and filled in. Use only X files requested from Chief Editor for updating modules.Send correct version books to printers according to laid-down guidelines and log date in Planner. Ensure appropriate staff members are informed.Take responsibility for assigned modules, assignments, and exam papers; follow up with academics and authors where required; update Planner appropriately. Security of intellectual property: All materials copyrighted to Milpark. No electronic copies handed out to any unauthorised internal or external parties. Detect plagiarism where possible and taking the required remedial action. Ensure that assessments are correctly password protected and that safety of confidential material is protected at all times.Planning and trackingRecord-keeping: Timesheets (activity sheets) completed daily, including keeping account of hours spent on study material; all status documents updated and accurately maintained (Planner, OneNote Book Tracker; Pending Books list). Pending work status communicated to Chief Editor to allow for overview of workflow and capacity. Comments window in study material kept up to date. Version control maintained; folders maintained in orderly and logical fashion; original and final documents filed and preserved correctly; documents named with correct, complete filenames. Know how all information is stored in the department. Scheduling of work: Scheduling of work as assigned by the Chief Editor and Supervising Editor work is evenly assigned between editors and suitable deadlines are awarded and complied with. Editors to work as a team in order to optimise productivity. Keep track of assessments received and completed, and update Planner docs. Workflow efficiency: Manage own time effectively to ensure completion of allocated tasks and meeting of deadlines; communicate with team members to optimise efficiency. Initiative shown in problem-solving. Problems communicated immediately.Ensure daily output target is met.Conduct detailed planning for own workload in order to meet allocated academic deadlines; configure assessments on SharePoint where required. Update summative, formative and materials trackers as required upon receipt or completion of tasks.Inform CE of capacity constraints or availability.
