Administrator: Marketing & Customer Engagement
The core purpose of the role is to assist the Marketing and Customer Engagement team in achieving their objectives. The main objectives for this position is to: Provide administrative support by attending to all administrative requirements for the Marketing and Customer Engagement teamProduce clear and concise written correspondence, content and marketing communications Key deliverables and outputs1.Information repository:a.Maintain an up-to-date, relevant and easy-to-use repository of information to facilitate professional tender and questionnaire responsesb.Create and maintain relevant and current reusable material such as templates and other documents, as requiredc.Ensure that all material is grammatically correct, error free and well researchedd.Ensure correct and consistent branding across all generic company documents and templates2.Online Platforms and Databases:a.Ensure all company information is relevant and up-to-date across all online platforms and databasesb.Routinely search all online platforms for potential opportunities to capture and pass onto the relevant business divisionc.Ensure all user names and passwords for all online platforms are routinely updated and centrally stored with restricted access3.HubSpot CRM:a.Manage and monitor all sales qualified leads (SQLs) in HubSpotb.Centrally report all sales activity levels, pipeline forecasts and key account management for the companyc.Assist with ongoing support to ensure that HubSpot is updated to reflect a real-time holistic view of the companys sales activities and pipelinesd.Provide introductory training sessions and on-boarding of new users to ensure the consistent use of HubSpot across the company4.Tender process:1.Assist with the provision of generic content and supporting documentation for all tender submissions2.Prior to submission, review and approve all strategic tender submissions in terms of adherence to corporate branding and house style3.Ensure that all final tender submissions and supporting documents are uploaded and saved in HubSpot5.Marketing:a.Ensure adherence to corporate branding through regular audits and escalate all non-conformances to senior managementb.Ensure all brand guidelines and house styles are up-to-date and easily accessiblec.Update company credentials presentations and corporate profiles, as and when requiredd.Coordinate with multiple departments and business divisions to gather information to develop, write and edit newsletters and communication briefse.Liaise with Human Capital to ensure all birthdays and special events and/or holidays are recorded and communicatedf.Assist the various business units with the compilation, issue and feedback consolidation of customer surveysg.Assist with the coordination and writing of input for social media posts, web-based materials and press releases for the companyh.Keep promotional materials (brochures, apparel etc.) updated and ready for distribution by maintaining a running inventory and driving the replacement orderingi.Update and maintain a marketing events calendarInternal customers Marketing and customer engagement team, sales teams, business development teams and head of Human CapitalExternal stakeholdersCustomers and service providers (where applicable)
