HR Graduate (Payroll)
Purpose:This is a great opportunity for a curious and self-motivated individual who needs to understand and assist the payroll team on tasks related to the full scope of payroll function. This role will report to the Payroll Specialist. Responsibilities:Maintaining the Sage Database - Check and verify the employee records such as employee contracts, IDs, beneficiary forms and qualifications, etc Data Optimisation (personal Files) for all employees oAuditing of physical files oScan and link the documentation to the Sage system oLiaise with the relevant managers to collect the information outstanding on the employee files oCreate a tracking system and update the payroll specialists on the metrics Assist with completion of the Employee Benefits documents, take on and exit (withdrawal) documents Provident fund, Pension fund and Medial aid.Check and verify that all leave is captured with sick notes attached on SAGE. Use the T&A system to validate where appropriate.Understand the importance of Time and Attendance system to payroll update with new or existing employee details. Details of what is loaded, timeously loaded on etc.Exposure to the Weekly and Contractor payroll processing including deadlines, cut off dates, processing time sheets, etc. Assist with yearend bonus and leave pay processing. Tracking of bonus provision forms.Assist with monthly financial reporting preparation of journals, headcount reports and man hours report.Understand the audit and data integrity requirements when performing payroll function.Assist employees with any HR related inquiries e.g. payroll, leave, company policies and benefitsAssist with compiling documentation or capturing for annual employment equity, BBBEE, SMETA, ISO audits and reporting.Assist in organizing company events e.g. wellness events, medical aid or pension presentations, long service awards (5 year or 10 year plus), learner celebrations, retirees farewell if over 30 years service etc.Be aware of all confidentiality requirements pertaining to all payroll and HR activities Perform any other ad hoc duties as and when required Key relationships:HR Team Line ManagersExternal Relationships:Service Providers
